Microsoft Word: Top 10 New Features in Word 2013
As the oldest of the Office applications, Microsoft Word was already packed with word processing capabilities. It’s amazing that Word 2013 has new and improved tools across the board, from document creation to reading, editing, and collaboration.
1. A New Look at the Word
The first change you will see when you install Word 2013 is the start screen and not a blank document, as in older versions of Word. In the left pane, you’ll see a list of your most recent Word documents and a way to open additional files. In the right panel, you can choose from a variety of templates, such as blank, flyer, blog post, etc. and search Microsoft’s library of templates online. If you’re a long-time Word user, the new home page may take some getting used to, but it can be turned off if the old look is preferred.
The New Design Tab
Word 2013 still supports the Ribbon feature but now the document copying tools are included in the new Design Tab so they are easier to find. 4. Smart Collaboration
Reviewing documents with Edits followed by comments is now easier with the new Simple Markup feature of Word 2013. From Simple Markup, complex text is hidden and the final document is displayed. However, you still see marks in the left margin where tracking changes have been made. When you click one of these lines, Word switches to All Markup view to see all the changes. Click the display line again, and Word returns to Simple Markup.
Another change is that you can turn off the Track Changes feature in Word which means that someone needs to enter a password to change Word to stop Track. This is a great way to ensure that all changes are captured when your document is being reviewed by multiple people.
Comments are also great because they now have a reply button that gives users the chance to have a conversation within a short text message. Now it’s easier to track comments around related words instead of creating multiple comments on a single topic. And when a comment is submitted, you mark it as complete. It will be grayed out so you don’t have to, but the conversation will still be there if you need to see it again later.
5. Open and edit PDFs within Word
Opening and editing PDFs is finally a full feature in Word 2013. In older versions, you could save a Word document as a PDF, but you couldn’t edit a PDF without converting it to a Word document first. Now you just open the PDF as if it were a Word document and edit it normally. Word can handle almost any PDF you want to work with, even if it has multiple tables, large images, different fonts, etc.—all without using a third party.
6. New and Extended Tables
Word 2013 finally eliminates the frustration of creating borders of different width and style in a Word table. The Border Painter and Border Styles tool makes layouts easy and quick.
Choose a Line Style, Line Weight, and Font Style or select a preset from the Border Styles list, and then apply a border to the table. With the Border Sampler tool, it is also possible to test the existing border and use the Border Painter to duplicate a different style on the table.
To add a new row to the table, simply hover your mouse outside the left edge of the table where the row should be placed. Click on the little icon that pops up and you’re done. There is a similar image for easily adding a new paragraph. There are also new options for working with tables on the Toolbar that pops up when you select a part of a table or right-click on a table.
7. Better Editing of Long Texts
Long documents can become unmanageable especially if you are only working on a small project. The new Expand/Collapse options in Word 2013 allow you to collapse and expand document headings to make it easier to focus on the section you want. To do this, you need to create the headings of the document using the built-in styles Heading 1, Heading 2, and so on. To hide the paragraph, hover your mouse to the left of the edited title and then click the triangle that appears, leaving the title visible. To control the “Expand/Collapse” menu, just right-click on the title.
8. Multimedia Magic
If you create brochures, flyers, brochures, or other documents in Word, you can add pictures and online videos directly into the Word document. To add a video, select Web Video from the Insert tab in the Ribbon. This opens the Bing Video or YouTube search tools within Word without the need to switch between Word and your web browser. And, if you have a video in mind, just enter the embed code. Remember that these videos will only play when your computer has an internet connection.
9. Get on the Cloud
Like other programs in the new Office suite, Word 2013 is connected to the cloud whenever you are online. OneDrive, Microsoft’s cloud file storage service, is integrated into Word and is now the default storage location. (You can also change the default to save locally to your computer.) When you upload files to OneDrive or SharePoint, they’re available for you or your friends to view or edit online from a variety of devices.
Office 2013’s new Office Presentation Service is one way to present Word documents online. You must be signed in to your Microsoft account to use this feature. Once everyone is connected to the service—which is managed through the Microsoft Word Web App—they will be able to follow along when you submit the document. The interface supports comments made during the presentation, and participants can create a printable and downloadable PDF of the document.
10. Touch Screen Performance
Microsoft Word 2013, along with the entire Office suite, is built with visualizations in mind. Touch isn’t essential for Word, but if you’re using it on a Windows tablet or a supported monitor, you’ll find that its navigation is smooth and easy. Click on images or charts to highlight or move the document with your finger or stylus. Click and hold (right-click with your mouse) on a word and see its various options such as Font, Synonyms, etc. Add or delete sections of a document by tapping. Double-click with your finger to zoom in and make tables, charts and graphs in your document fill the screen. To continue reading and viewing remotely, click or click again outside of the item.
