Microsoft Access Database Design Concept – Step 6 of 7 – Designing Microsoft Access Forms
The Access Form Design (data entry design) is a form of communication between the user and the system. If you are going to keep records of customers, sales and place orders, you will need an entry screen (view).
It is possible to ignore it Forms together it only works with tables and queries but this limits performance and some security issues are exposed.
Select the user role and the types of users that will work. You may have something in common Forms which look similar but provide different functions for example Access Form to enter new customers only and similar Access Form to view data as read only.
The actual time it takes to produce Forms it’s less but the more functionality is needed and the more the design time is the longer it takes.
Here are 5 quick ways to help you prepare and create a form.
- Select the type of work you want to create a form for. Will it be a form of just entering new posts or browsing existing posts? Do you want users to see but not ‘touch’ what is causing it to appear on screen? Will the form prompt users to enter a value or search for a specific part of your Access database? List all types of services that will help your database system.
- Are you the only person using an Access database or will you have multiple users who can take responsibility for a particular process? List all users and their roles that are starting to identify the natural group of users to the natural group of tasks.
- Now compare the group of users and the groups of Methods of the Access form and check and see if you can create a refined group between the two and reduce the number of forms you need.
- For each form, list the fields and any controls that contain buttons and other navigation functions that the form should include. For example, a search screen may have a button that opens another form to view information about another list related to the selected key.
- Consider and map out the layout and appearance of the form and write down all the details you believe to be most useful including layouts, tab arrangements, grouping and any graphics (if applicable). Each control (element, button, check box etc.) has its own collection that changes the appearance and behavior as well as behavior including the overall view.
This process can take some time to complete and will be faster once you know the path through it and can be repeated very quickly – quickly ‘push’!
